Position Summary:

The Operations Coordinator will serve as an independent contractor, providing comprehensive operational and administrative coordination services to the North Texas FWC Organizing Committee for the 2026 FIFA World Cup in Dallas. This role supports leadership and project teams by managing schedules, facilitating communications, coordinating logistics, and contributing to event-related initiatives. The ideal contractor is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced, high-profile environment.

Scope of Services:

 

Administrative & Coordination Support

  • Coordinate calendars, meetings, and follow-ups for leadership team members.
  • Draft, review, and organize correspondence, reports, presentations, and other materials.
  • Serve as a liaison for internal and external communications, directing inquiries appropriately.
  • Maintain confidentiality and professionalism in handling sensitive information.
  • Organize and facilitate meetings, including venue coordination, agenda preparation, and distribution of materials.
  • Record and distribute meeting notes; monitor action items and deadlines.

Project & Event Coordination

  • Support planning and execution of special projects related to 2026 FIFA World Cup.
  • Monitor timelines and deliverables across departments.
  • Provide logistical coordination for events, conferences, and VIP engagements.
  • Assist with run-of-show planning, event materials, and on-site logistics.
  • Contribute to contingency planning for operational disruptions (venue changes, vendor delays, etc.).

Operational Support

  • Coordinate office logistics including supplies, equipment, and vendor relationships.
  • Ensure the workspace is functional and aligned with organizational needs.
  • Liaise with property management, IT support, and service providers.
  • Provide basic troubleshooting and support for operational systems.
  • Maintain and update operational procedures and workflows.
  • Support team culture through coordination of team-building activities and celebrations.

Documentation & Records Management

  • Organize and maintain records, contracts, and key operational documents.
  • Support onboarding processes and maintain contractor-related documentation.
  • Assist with expense tracking, procurement coordination, and budget reporting.
  • Recommend and implement process improvements to enhance operational efficiency.
  • Assist with documentation for audits, reporting, and regulatory submissions.

Qualifications:

  • Minimum 5 years of experience in operations coordination, executive support, or office management, preferably in a high-profile or fast-paced environment.
  • Experience in sports, event planning, or supporting senior leadership is preferred.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and project management tools.
  • Ability to work independently, manage priorities, and anticipate needs.
  • Fluency in English required; proficiency in additional languages is a plus.

Contract Terms:

  • Status: Independent Contractor
  • Compensation: Monthly invoice for services rendered.
  • Benefits: Not applicable; contractor is not eligible for employee benefits.
  • Taxes: Contractor is responsible for all applicable taxes on compensation received.
